Role Name: Administrative Specialist – Accounts Payable & Receivable

Job Description: You’ll handle essential financial administrative tasks that keep a growing business running smoothly, working directly with supplier invoices and wholesale customer billing. This role is perfect for someone who enjoys organized, detail-oriented work and wants to contribute to a business making a meaningful impact in women’s health. You’ll work alongside an experienced accountant who provides guidance while you manage the day-to-day administrative aspects of accounts management.
Responsibilities:
Process and accurately code supplier invoices to the appropriate chart of accounts
Manage approval workflows for invoice processing and payment authorization
Generate invoices for wholesale customers, including major UK retail chains
Handle accounts payable administrative tasks with attention to detail
Manage accounts receivable processes for wholesale and retail partnerships
Maintain organized records of all financial transactions and communications
Support general administrative tasks as business needs arise
Requirements:
Strong organizational skills and exceptional attention to detail
Experience with Xero is essential as this is the accounting system we use.
Experience with invoice handling systems is essential (HubDoc is preferred as this is what we use).
Basic understanding of accounting principles and chart of accounts structure
Experience with invoice processing, coding, and approval workflows
Professional communication skills for supplier and customer interactions
Proficiency with accounting software or a strong willingness to learn new systems
Bonus if you have experience with wholesale or retail invoicing processes
It helps if you’re familiar with UK business practices and VAT requirements
