  • Saturday & Sunday: 9:00 AM – 3:00 PM

About the Role

We’re looking for a reliable and customer-focused assistant to support a busy clinic during off-hours. This role is responsible for managing inbound calls, booking appointments, and ensuring no potential clients are missed when the clinic is closed. The ideal candidate is organised, detail-oriented, and comfortable working independently while delivering excellent client service.

Key Responsibilities

  • Answer phone calls and respond to messages during after-hours coverage
  • Book appointments and manage the clinic’s scheduling system
  • Review, check, and update client notes and consent forms
  • Send appointment reminders and follow-up messages to clients
  • Follow up with clients who have not completed required forms
  • Create and schedule social media posts related to appointment availability
  • Send email communications and client follow-ups
  • Perform general reception and administrative tasks
  • Maintain consistent communication to ensure all booking opportunities are captured

 

Requirements

  • Strong verbal and written communication skills
  • Experience using booking or scheduling systems (training will be provided)
  • Experience with social media posting and basic marketing tasks
  • Ability to work independently and manage tasks during off-hours
  • High attention to detail for managing client documentation and records
  • Customer service experience (healthcare or beauty industry experience is preferred)
  • Reliable internet connection and a quiet workspace suitable for phone calls
