Job Overview

tem is hiring a Customer Experience Operations Coordinator to join its Onboarding and Service cross-functional team. This is a practical, detail-focused operations role designed for someone who enjoys keeping processes running smoothly behind the scenes while continuously spotting opportunities to improve how work gets done.

You’ll play a key role in managing the operational backbone of customer experience — from handling backend processing and maintaining accurate records to supporting systems administration and identifying process inefficiencies. You’ll work closely with the Operations Lead and other stakeholders, balancing collaboration with autonomy, and bringing a proactive mindset to both execution and improvement.

Key Responsibilities

In this role, you will:

  • Own and carry out backend operational tasks that support the Customer Experience and Onboarding and Service team, including document management, data entry, system administration, and operational housekeeping.
  • Deliver work with a high level of accuracy, consistency, and attention to detail.
  • Collaborate closely with internal stakeholders to ensure manual processing tasks do not become bottlenecks for customer-facing teams.
  • Identify and flag blockers, data issues, or unusual patterns early before they create larger operational problems.
  • Proactively spot repetitive or inefficient workflows and suggest smarter solutions through process redesign, better tooling, or escalation to Product, Engineering, or Operations.
  • Use existing templates, automation tools, and documented workflows to improve your own speed and efficiency.
  • Create clear and organized process documentation, tickets, action trackers, and operational notes so that work remains easy to follow and transferable across the team.
  • Communicate updates clearly by outlining completed work, next steps, and blockers in a structured and concise way.
  • Learn and work within the CX tooling stack, including systems like Intercom and HubSpot, while supporting basic system administration and troubleshooting.
  • Liaise with Product, Engineering, and other cross-functional teams whenever your work overlaps with theirs, helping to diagnose and unblock issues as needed.

Nice-to-Have Qualifications

While not required, these additional experiences would be valuable:

  • Previous experience in support operations, customer service operations, or back-office processing.
  • Hands-on exposure to Intercom, Zendesk, Zoho Desk, or similar platforms, particularly around configuration, admin settings, or platform management.
  • Familiarity with automation tools like Zapier or n8n, even at a basic level.
  • Experience using HubSpot or similar CRM systems.
