About the Job
The Administrative Assistant will provide essential administrative and operational support to ensure the smooth running of the office and project activities. The successful candidate will support project leadership and staff by handling office coordination, scheduling, communication, travel arrangements, procurement support, and general administrative tasks.
This position also serves as an important link between the project team and PATH’s country office staff, helping maintain efficient communication and coordination across teams.
The ideal candidate should be highly organized, detail-oriented, proactive, and capable of managing multiple responsibilities in a fast-paced nonprofit environment.
Key Responsibilities
As an Administrative Assistant, your duties will include:
Office & Administrative Support
- Managing office reception and front-desk activities
- Handling office communications and correspondence
- Maintaining contact databases and filing systems
- Scheduling appointments, meetings, and conference rooms
- Ordering office supplies and coordinating office maintenance
- Sorting and distributing incoming mail and documents
- Preparing memos, letters, forms, and reports
Meeting & Event Coordination
- Coordinating team meetings, workshops, teleconferences, and project events
- Arranging catering, meeting logistics, and guest support
- Managing calendars for project staff and leadership
Travel & Logistics
- Booking travel arrangements, accommodation, and transportation for staff and visitors
- Supporting visitors and senior management during official engagements
Procurement & Operational Support
- Supporting procurement processes for project goods and services
- Working closely with country program staff and procurement teams to ensure timely delivery of operational needs
Required Qualifications & Skills
The organization is seeking candidates with:
- Bachelor’s degree in Business Administration or a related field
- Minimum of 3 years of administrative or office support experience, preferably within a nonprofit organization
- Strong knowledge of office management systems and administrative procedures
- Excellent organizational and multitasking skills
- Strong written and verbal communication abilities
- Attention to detail and problem-solving capabilities
- Ability to prioritize tasks and meet deadlines effectively
- Proficiency in:
- Microsoft Office
