Virtual Assistant / Operations Support (Part-Time, Independent Contractor)

Their work spans hotel developments, residential builds, and mixed-use ventures—guided by a distinctly owner-focused lens that balances design integrity, cost efficiency, and construction practicality.
As the firm continues its upward trajectory, an opportunity has emerged for a part-time Virtual Assistant / Operations Support professional to step into a multifaceted support role. This is not a traditional employment arrangement, but rather a freelance, independent contractor (1099) engagement designed for flexibility and autonomy.
Responsibilities
This position weaves through the operational fabric of the business, touching multiple functional areas with a hands-on approach:
Financial & Administrative
- Prepare, issue, and monitor invoices with precision
- Track expenses and compile structured financial reports
- Coordinate light bookkeeping activities using tools such as QuickBooks or equivalent platforms
Proposals & Documentation
- Format polished proposals, reports, and client-facing deliverables
- Organize digital files while maintaining consistency in documentation standards
- Provide light editing and proofreading to ensure clarity and professionalism
CRM & Systems Management
- Maintain and refine CRM systems (currently being developed within Go High Level)
- Track leads, contacts, and follow-up activities with accuracy
- Assist in structuring and optimizing internal systems for better usability
Email & Scheduling
- Oversee inbox organization, ensuring priorities are addressed efficiently
- Draft and respond to routine communications with a professional tone
- Coordinate calendars, meetings, and occasional travel logistics
Marketing & Social Support
- Assist with LinkedIn content and light marketing coordination
- Support minor website updates and digital presence enhancements
General Operations
- Provide flexible, ad hoc administrative support across the business
- Identify inefficiencies and propose practical workflow improvements
- Take ownership of assigned responsibilities, ensuring completion without constant oversight
Qualifications

Technical Comfort
- Quick to learn and adapt to new tools and systems
- Familiarity with:
- Microsoft Office Suite (Outlook, Excel, Word)
- CRM platforms (Go High Level or similar)
- QuickBooks or basic bookkeeping tools
- Cloud-based file systems such as OneDrive
Experience (Preferred)
- Prior experience as a Virtual Assistant, Operations Coordinator, or similar role
- Exposure to supporting small businesses, consultancies, or entrepreneurial teams is advantageous
Role Details
- Type: Independent Contractor (1099)
- Hours: Approximately 15–20 hours per week initially
