A globally oriented, purpose-driven organization is seeking a meticulous and forward-thinking Administrative & Operations Support professional to work alongside senior leadership during a pivotal phase of expansion.
This role is not merely administrative it is operationally strategic. You will function as a stabilizing force within the organization, ensuring that workflows remain fluid, execution remains precise, and leadership bandwidth is preserved for high-impact decision-making.
Initially structured as a part-time engagement (approximately 20 hours per week), the position offers a natural pathway toward broader responsibility and potential full-time integration.
Key Responsibilities
- Oversee the tracking of agreements, critical documents, and milestone deadlines across multiple workstreams
- Support compliance-related initiatives while coordinating seamlessly with external advisors
- Assist in financial operations, including audits, reconciliations, and documentation management
- Maintain well-structured, cloud-based filing systems that prioritize clarity and accessibility
- Prepare and coordinate board-level materials, ensuring governance processes run smoothly
- Manage executive inboxes and calendars while ensuring timely follow-up on key action items
- Liaise with vendors, partners, and external service providers to maintain operational continuity
- Monitor task progression, ensuring deliverables are completed within established timelines
Required Qualifications
- Minimum of 3 years’ experience in administrative, operations, or executive support roles
- Exceptional organizational capability with a sharp eye for detail
- Ability to independently manage competing priorities and shifting deadlines
- Strong written and verbal communication skills, marked by clarity and professionalism
- Proficiency in digital tools such as Google Workspace, email platforms, spreadsheets, and document management systems
- High level of discretion, integrity, and respect for confidentiality
Preferred Experience
- Prior experience supporting senior executives or C-suite leadership
- Exposure to nonprofit, multi-entity, or globally distributed organizations
- Familiarity with compliance processes, contracts, or audit coordination
- Experience working with external providers across HR, payroll, legal, or accounting functions
- Working knowledge of CRM platforms and reporting tools
