Core Responsibilities
- Oversee and maintain up to eight active company inboxes, ensuring clarity and structure across communications
- Respond to client, vendor, and internal inquiries with promptness and professionalism
- Direct correspondence to the appropriate stakeholders while maintaining continuity
- Establish and maintain organized inbox systems, including follow-ups and tracking mechanisms
- Coordinate comprehensive travel logistics—flights, accommodations, transportation, and itineraries
- Manage calendars, schedule meetings, and align appointments across teams
- Monitor deadlines, track deliverables, and ensure projects progress without delay
- Provide general administrative support across daily operations
- Prepare documentation, spreadsheets, and written correspondence as required
- Uphold strict confidentiality and maintain a composed, professional tone in all interactions
- Assist leadership with ad hoc responsibilities and evolving operational needs
Candidate Profile
Essential Qualifications
- Prior experience in administrative support, executive assistance, or customer-facing roles (preferred)
- Exceptional written and verbal communication capabilities
- Strong organizational discipline with the ability to juggle multiple priorities simultaneously
- Independent work ethic paired with proactive problem-solving instincts
- Experience handling high-volume email communication environments
- Proficiency in Google Workspace, Microsoft Office, and scheduling systems
