Serving as the gateway to Jhpiego’s operational environment, the Front Desk Assistant occupies a highly visible and essential position—one that shapes first impressions while quietly orchestrating the rhythm of front office functionality. This role extends beyond routine reception duties; it demands attentiveness, composure, and a refined sense of coordination to ensure that every visitor interaction and administrative process unfolds seamlessly.
From managing communication systems to facilitating logistics, the position requires a balance of hospitality finesse and administrative discipline.
Key Responsibilities
- Sustain the smooth operation of the reception and front office, offering dependable support to staff and visitors alike.
- Receive and accurately log bid submission documents, ensuring proper documentation and traceability.
- Oversee attendance tracking systems and telephone infrastructure, coordinating with IT to swiftly resolve technical disruptions.
- Support administrative processes tied to travel coordination, including flight booking documentation and ticket authorization tracking.
- Maintain a detailed telephone usage register, ensuring adherence to organizational communication policies.
- Preserve a clean, welcoming reception area while promptly attending to guests with professionalism and warmth.
- Manage incoming correspondence and deliveries, ensuring timely and accurate distribution across the office.
- Coordinate outgoing mail—both local and international—ensuring proper addressing, documentation, and dispatch through courier services.
- Facilitate communication support for visiting staff from international offices, including temporary mobile device allocation and contact setup, with strict accountability upon return.
- Assist in preparing meeting spaces, ensuring logistical readiness for conferences, trainings, and internal engagements, including refreshment arrangements.
- Provide periodic insights and feedback to the Administrative Manager regarding front office operations.
- Monitor and enforce compliance with vehicle requisition processes, ensuring efficient daily utilization.
- Verify office supply deliveries (such as consumables and utilities) against invoices prior to payment processing.
- Track vendor payment statuses, offering timely updates to relevant stakeholders.
- Maintain accurate inventory records of office supplies, ensuring timely replenishment.
- Oversee the readiness of the First Aid Box, ensuring essential medical supplies are consistently available.
- Undertake additional responsibilities as assigned, adapting fluidly to evolving operational needs.

Qualification Profile
- Minimum of an HND or Bachelor’s degree in Administration or a related discipline.
- One to two years of relevant experience within a similar capacity.
- Foundational computer literacy, enabling efficient handling of digital tools and systems.
Skills & Competencies
- Prior exposure to fast-paced office environments, particularly within private or international organizations, is advantageous.
- Familiarity with PBX telephone systems and general office communication tools.
